How do I create or manage a certificate bundle?

Training plans/certificate programs are often referred to as “certificate bundles”.  This term is used to minimize confusion between certificate bundles and certificates of completion.


Once learners enroll into a certificate bundle (the parent), they are automatically enrolled into a group of instructor led courses, online modules, or videos, etc (child resources) within the bundle.  The child resources are accessed via the title of the certificate bundle after it is on a learner’s plan. The following is an example depicting the view of a certificate bundle from the learner’s perspective.

Section 1: Creating a New Certificate Bundle


Step 1

To create a new certificate bundle resource, select “Maintain Learning Resources” from the resources tab.  



Step 2

From here this screen, click “new” to create the certificate bundle. 



Step 3

After giving the certificate bundle a title, be sure that the “Type of Resource” is set to Training Plan/Certificate Program.


Step 4

Under delivery method, select “Certificates”.


From here you can address the description, objectives, details, and metadata tabs as you would for any other learning resource.


Allow Multiple Enrollment Option


If learners will need to complete this certificate multiple times, check the “Allow Multiple” enrollments.


Allow Previous Completions Option


If you would like previous completions of resources within the certificate to contribute towards completion of the certificate, check “Allow previous completions of resources to be included within this certificate”.  If you do not check this box, the learner will be required to complete all of the courses on the certificate (as part of the certificate), even if they have previously completed some of the individual resources.


  Tip

A certificate cannot allow multiple enrollments and allow previous completions of resources to be included within the certificate. If you check Allow Multiple Enrollment, the allow previous completions check box will be disabled.


Lock Step

This option will ensure that learners complete resources within the training bundle in the order that they appear.

Section 2: Adding Learning Resources to Training Bundles



Step 2.1

Click the Manage Certificate button to add or remove learning resources to the training certificate. 




Step 2.2

The ADMINISTER CURRICULA screen will open.  You will see the root folder for the training bundle named after the title of your training bundle learning resource. You will also see a folder titled "New Level". Update the title of the "New Level" folder to reflect the title of a subsection of the bundle, e.g. eLearning, video, instructor led training. 


Right-Click on the root folder and create as may subfolders as necessary to organize the content of the training bundles for the learners. Each new subfolder will appear as a subsection on the course display page for the training bundle.


Step 2.3

Click the Add Resources button



Step 2.4

Type the title of the learning resource you want to add to the training bundle.


Click the search button



  Tip

If the learning resources do not appear in the search results, try enabling the Include Inactive feature, in case the learning resource have not bee activated yet.  If this is the case, be sure to activate those learning resources before activating the training bundle. If you do not own the resources, refrain from adding Inactive resources to the training bundle until discussing the learning resource status with the course owner.


Step 2.5

Use your mouse Drag and Drop the desired learning resource into the corresponding subfolder, from the left to the right side of the screen. 


Step 2.6

Repeat steps to 2.4 through 2.5 to add more resources to the training bundle. Please note that it is best practice to refrain from adding more than 15 learning resources to a training bundle. After the resources have been added click the Update button.

 

Step 2.7

Once all desired learning resources have been the added to the ADMINSTER CURRICULA screen, click the save button.


Section 3: Additional Options for Training Bundles


When adding learning resources to training bundles there are additional options that you may find useful to manage the training bundle.  

The following video provides guidance regarding the "Enroll User into entire certificate upon enrollment in this resource" option.




  Tip

When “Enroll user into entire certificate upon enrollment in this resource” is checked, a learner who enrolls in this resource will have the entire certificate added to their Development Plan. This means the learner can no longer launch the resource outside the certificate.

Setting Optional Activities within Training Certificates

The myLearning system allows for sections within your training bundle to be configured in a way that a number of learning resources must be completed within a section of the bundle for the bundle to be recognized as completed by the learner.

Section 4: Refreshing the Training Bundle


When resources are changed on a certificate,  this changes the structure and set up of the certificate. The myLearning system does not automatically recognize the structural change. In this case you will need to use the Refresh Certificate feature.  The following video provides guidance on the Refresh Certificate process.



Refresh Certificate Options



After clicking the "Refresh Certificate" button, you will be brought to a screen with 2 refresh options.



Consider the following refresh options before clicking the “Update Certificate” button:


Use Last Completion Date – clicking this option will ensure that the myLearning system recognizes an enrolled learner's most current completion date of a child resource within the bundle and use that as the completion date for the training bundle.




Update Completed Enrollment – clicking this option will place the updated training bundle back on the plans of those that completed the bundle before it was updated.  So if you added a new child resource that completes the certificate bundle, the new child resource will be added and move the certificate bundle back onto learners plans. Only use this if you want to force learners that have previously completed the bundle to re-take the bundle under the new bundle structure. Otherwise, you can leave this option un-checked.



  Tip

 The system will not send notification to the learners that the certificate is back on their plans.

After clicking “Update Certificate” you will see a system pop-up indicating that the refresh is happening.



After seeing the prompt indicating that your resource has been sent to the queue to refresh, feel free to Save and Close your the training bundle. From here you will receive an email notification that your training bundle has been refreshed.
