How can I process credit for an Instructor Led Training?

If automatic attendance is not turned on for a facilitated session, the instructor (or a System Administrator) will need to process credit for participants enrolled in Instructor Led Training (ILT) courses. This is done in the Credit tab of a facilitated class session. Please note that this access should only be utilized for courses that are owned by your department. Otherwise, please do not process enrollment credit for courses without the permission of the course owner 


  Tip

Important: Do not process any credit until the class session is over, meaning the date has passed for the class session. When credit is processed for even one user, the following will occur:
  1. The class status will change to Closed (even if the class is in the future).
  2. Other enrolled users will be listed as no-shows when the overnight process runs.
  3. Other users can still enroll through the Class Calendar/Course Catalog, if the class registration date is in the future. However, the system will now disregard the max number for the class, so a class could get too full.

To process credit for participants, first navigate to your name on the myLearning launch page and select “Admin Tools” from the dropdown options.

Then navigate to the Resources tab and select Maintain Facilitated Sessions.

Next, search for and select the ILT course you need to identify facilitated class sessions for. You can search by the title of the course or learning resource ID.



Choose a desired date range for the class session(s) you would like to identify by clicking on the calendar icons.

Click “Search”.

Select and highlight you would like to edit.

Click the “Edit” button.

Once the class session opens, click on the Credit tab.



Processing Credit

The Credit tab will list all enrolled participants for the class session.



If you desire you can set the Set Defaults amount of hours the learner had to attend to receive credit for the class session. Click Set Defaults in the top toolbar to set the time for the class. If you do not enter a time in the Default section, it can be manually entered next to each participant’s name.



After you have entered the time, click Update. The Hours and Minutes columns will automatically update for all participants.


Other credit settings you can adjust include:


Score (Optional)

Type in a score for each participant, if desired.


Comments (Optional)

Type in any comments for each participant. For example if an enrolled participant was a “No Show” you can document this in the comments section.

To process credit select the check box next to the name of each participant who should be granted credit.



If every listed participant should receive credit, select the checkbox by Last Name, in the header row, and all names will be automatically selected. Only use this option if it is confirmed that all participants should receive credit.



Then click the Process Credit button in the toolbar.



Once credit has been processed, the status column for that that received credit will indicate “Complete”.



You can now close the class session.
