How do I process myLearning Standard Reports?

When accessing the Report Catalog there will be several reporting template options displayed. Although there are numerous report templates to choose from, the Learning Technology and Innovation Team has created myLearning Standard Reports based on specific data sets.  

The following is guidance for what is available and examples on how to process myLearning Standard Reports.

Assessment Results Report

 

This report provides data associated with a learner’s assessment/quiz responses for eLearning courses. Please note that this report can only be used for learning resources that consist of eLearning content that includes quizzes. This report cannot be used to process data for training bundles.

 

Catalog ReportThis report processes data related to active, inactive, retired, learning resources located in myLearning catalog, curricula, and certificate bundles.

LTI Class Enrollment Report 

Used when checking Enrollment Status for Instructor Led Training courses (ILT).

Detailed Enrollment Status Report

 

This report provides detailed data as it relates to individual enrollments and learning resources. The report can be used for both Instructor Led Training courses (ILT) and eLearning courses as well. When used for eLearning courses, the "All Instructors" data field is not applicable.

Enrollment Status for Full Audience Report

This Full Audience report is best used by applying specific criteria (org unit, personnel area, job code, etc) before processing the report.  Otherwise the report will process enrollment data for the entire audience in JHHS and you will need to use the report filters within Microsoft Excel to specify the data.

Enrollment Status for Required Audience Report

Use this report to check the enrollment status (Complete, Incomplete & Not Started) ONLY when the resource has been assigned as required on learners’ plans via a required audience or mapping curricula created on a learning resource

Level 1 Evaluation

 

This report can be used to process feedback data from learners as it relates to learning content.  This report will process feedback data for both eLearning and Instructor Led Training.

New Hire 

Transcript Report

 

This transcript report can be used to determine the enrollment status results (Complete, Incomplete & Not Started) for newly hired employees. When processing the report choose the criteria of NEW HIRE DOMAIN and COURSE. This report is for online learning resources. This report can process data for all courses regardless of status (Active, Inactive, Retired).

New Hire Report (Required Audience)

 

This report is used to check enrollment status (Complete, Incomplete & Not Started) for new hires (employed 30 days -1 year) within organizational units that have been assigned required learning.

Staff Report
This report can be used to identify the staff for a given job code, personnel area, cost center, or organizational unit (department).

Transcript Report

 

The Transcript report can process enrollment status data (Complete, Incomplete, Exempt, Waived, Not Started) for all courses (Active, Inactive, and Retired). It is recommended for both Instructor Led and Online Resources. This report processes enrollment data for the entire life cycle of a course from the time it is first made available in myLearning.  Watch a video demonstration of Processing a Transcript Report.

Transcript Report with date range

 

The Transcript report can process enrollment status data (Complete, Incomplete, Exempt, Waived, Not Started) for all courses (Active, Inactive, and Retired). It is recommended for both Instructor Led and Online Resources.  This particular report also allows for the use of the date range option. Processing a Transcript Report with Date Range (myLearning Standard Report example)

The following are instructions for processing a Transcript report with Date Range. This is a commonly used myLearning Standard Report.


The Transcript Report with Date Range provides enrollment data for any course whether it is in active, inactive, or retired status.


Step 1. Access the Report Catalog from the myLearning Launch page



Step 2. Navigate to the myLearning Standard Reports section of the catalog and click to highlight “Transcript Report w/ Date Range”



Step 3. Once the title is highlighted, on the right side of the screen click the “Set Options” button.



Step 4. The system will navigate you to the next screen. From here you will need to Select a Date Range for the data you would like to process.



Step 5. Next you will need to Select a Criteria. Consider what you want to see in the results of the report. The example for criteria used in this job aid will be “Course”.



Step 6. Next you will need to identify the status of the course(s) you would like to process report data for (Active, Inactive, Retired, or All Courses). Please note that all reports do not have this option.



Step 7. Type in the title or key words for the title of the first course. Key words can be used, however, an accurate title will lead to narrower search results. Be sure that there are not any unnecessary spaces before or after the title. Once you have typed in the title click “Filter”.



Step 8. Once you find the course title add a check mark next to the title. Repeat steps 7 and 8 until you have identified all of the course titles you would like to process report data for.



Step 9. It is optional to select an Output File Type. The default file type is a Microsoft Excel Spreadsheet. There is also the option to send a copy of the report to yourself when it has finished processing. After you have considered and chosen your options, click Run Report.



Step 10. The system will navigate you to the “See Your Results” tab. Once the report has finished processing you can click the report title to download the report.
