In the situation where a learner needs to be given completion credit or enrollment needs to be removed from a learning resource, use the Manage Credit and Enrollment function. Managing credit and enrollment is a System Administrator function.
Tip
System Administrators should only manage credit or enrollment for resources they own.The following video is a demonstration for how to use the management credit and enrollment feature in myLearning.
Step 1
At the System Administrator Console screen choose Manage Credit and Enrollment from the People tab.
Step 2
Next, choose View by Person as the filter option.
When using the View by Person option, you must first select the learner. You can only view results for one learner at a time when using this option. Type in the JHED ID for the learner in the Employee Search field. When the system locates the learner, click on his or her name.
Once the learner is found select the desired filter options to display the specific information you would like to see. The audience drop-down helps to limit the results for the selected learner.
Show All
This is the default. This option will show every course on the selected learner's plan and History.
Show on Plan
This option will show every course on the learner's plan, regardless of status (Not Started, Incomplete, etc.).
Show on History
This option will show every course on the learner's History.
Show Passed
This option will show every course that the learner has passed.
Show Failed
This option will show every course that the learner has failed.
The Completions Expiring optional drop-down limits the results to only courses that are expiring (or are expired) in the selected time frame. The Show Inactive Employees box must be selected if you need to search for an inactive learner.
Clear Selections
The Filters and options pop-up will retain your selections after you leave this screen to work in the Results grid. To ensure that you don't have any forgotten selections affecting your new results, click the Clear Selections button each time that you need to select new filter criteria.
Step 3
Once you have selected your desired filter options, click and select the learner’s name from the Employee Search field. Then click the Show Results button.
Step 4
On the results screen, find the desired learning resource you would like to manage credit and enrollment for. Once you have found the learning resource check the box next to the learning resource title.
Step 5
Use the action dropdown menu to select the desired action you would like to take as it relates to managing credit and enrollment.
Enroll as Elective
This action is used to enroll a learner in the selected course. The course will appear in the Elective Learning section of the learner's learning plan.
Enroll as Required
This action is used to enroll a learner in the selected course. The course will appear in the Required section of the learner's learning plan. When a learner is "Enrolled as Required" they are not truly part of the required audience. They will not be listed as a member of the required audience on Required reports and the Required course notifications will not be sent to them. This option is not available in all systems.
Set/Update Completion Deadline
This action is used to set and/or update the completion deadline of a course that a learner is already enrolled in. The completion deadline will appear on the learner's Development plan. It will also appear on reports.
Tip
The Completion Deadline cannot be manually changed when it is set by a requirement at the resource/audience level (for example, by setting expiration). If you do try to change a required completion deadline, you will get a message letting you know that the deadline cannot be changed.Set Completion
This action is used to grant credit to a learner who does not have a "Complete" status for the course.
Enroll and Set Completion
This action creates an enrollment and then marks the course complete. This should only be used when the learner's status is complete and another completion is being granted.
Tip
If the learner is already enrolled and this action is used, another enrollment will be created thus creating a duplicate enrollment.Revoke Enrollment
This action is used to remove the learner's enrollment in the course.
Tip
Please note that if a learner is enrolled into the course due to being included within a required audience the system will not allow you to revoke the enrollment. The learner will have to be excluded from the requirement at the audience level. You will need to navigate to either the required audience on the learning resource or the required audience on the mapping curricula. From there, the learner can either be completely removed from the audience or added the exclude list if you need to document that the learner was excluded from the requirement.Revoke Completion
This action is used to revoke the completion for a learner who was previously granted credit for completing the course. The learner will remain enrolled in the course.
Revoke Completion and Enrollment
This action is used to revoke the completion for a learner who was previously granted credit. This action will also remove the learner's enrollment in the course.
Waive Selected Individuals
This action is used to waive a learner from a course requirement. A waive is visible on the learner's Learning History. If used for a resource that has an expiration, this will only waive the learner from the current requirement; the learner will still need to complete the training before the next scheduled expiration date.
Exempt Selected Individuals
This action is used to exempt a learner from a course requirement. An exempt may or may not be visible on the learner's Learning History based on your system's configuration. If used for a resource that has an expiration, the learner will never have to take the course regardless of expiration date.
Step 6
After choosing the desired action click Save.
Step 7
The system will ask for your confirmation regarding the desired action. Click the Confirm button.
